Billing Policy

This Billing Policy describes the subscription plans, pricing, billing cycles, payment processing, cancellation, and refund terms for the GPAce platform (“Service”). This policy supplements our Terms of Service and Privacy Policy.

By subscribing to a paid plan, you agree to the terms described in this Billing Policy.

1. Subscription Plans

1.1 Free Access

Eligible new accounts receive one no-cost academic period of core Plus study features. This access:

  • Becomes tied to the current semester or trimester when you create your first course
  • Includes up to 4 courses in a semester system or 3 courses in a trimester system
  • Includes AI notes, flashcards, quizzes, and study scheduling
  • Expires with the academic period and does not automatically carry over

Past-paper analysis is not ordinarily included in Free access, but may be unlocked for a selected active course using an eligible referral reward.

1.2 Plus

Plus includes:

  • Up to 4 courses per semester or 3 courses per trimester
  • AI notes, flashcards, and quizzes
  • AI study scheduling
  • Invite rewards and standard support

1.3 Pro

Pro includes everything in Plus, plus:

  • Up to 6 courses per semester or 4 courses per trimester
  • Past-paper analysis
  • Exam-tailored AI study materials
  • Priority support

1.4 Referral Rewards

A referral qualifies after the referred user creates at least one course, subject to reasonable anti-abuse checks. Where redemption is available in the Service, eligible invites may be used in one of two mutually exclusive reward paths:

  • Course-analysis path: 2 qualifying invites may be redeemed for one past-paper analysis credit, up to 3 credits over the lifetime of the account
  • Free-period path: 4 qualifying invites may be redeemed once for one additional no-cost academic period of the Free access described in Section 1.1

Once you redeem either type, the other reward path is no longer available. An analysis credit applies to one selected active course and has no cash value.

2. Pricing

Pricing depends on your region, paid tier, and billing cycle. Region and billing currency are derived from your supported university, while the short billing cycle follows its semester or trimester calendar.

Current prices are shown on our pricing page and in the Service at checkout. The plan, cycle, currency, and total shown for your transaction at checkout are authoritative if there is a discrepancy.

Price changes do not alter a charge already processed and will apply only as described in Section 11.

3. Billing Cycles

3.1 Academic-Period Billing

Semester or trimester billing is aligned to your university's configured academic calendar. If you subscribe during an active academic period, the initial charge is due at signup and the subscription runs to the next configured billing date. That billing period may include intervening gap months.

3.2 Yearly Billing

Yearly billing charges once for an academic year and renews annually on a date derived from your university's academic calendar. The annual price may be lower than paying for each academic period separately.

3.3 Academic Gap Months

A paid subscription remains in its current tier through its billing period, including configured gap months. However:

  • Course creation, new paid subscriptions, and tier upgrades may be unavailable when no academic period is active
  • Courses from an ended academic period may become inactive and unavailable in normal course views even though the subscription itself remains active
  • Cancellation, scheduled downgrades, and supported billing-cycle changes remain available

3.4 Billing Dates

Billing dates and academic-period boundaries are calculated from the calendar associated with your university and cannot be manually selected.

4. Payment Processing

4.1 Payment Method

Payments are processed by Stripe using payment methods made available at checkout, which may include cards or supported device wallets. Stripe collects the payment credentials and necessary billing details; GPAce does not store your complete card number or security code.

4.2 Initial Charges

When you subscribe or make an immediate upgrade, the applicable amount may first be authorized and then captured after subscription setup succeeds. If setup fails before capture, the authorization is released, although your bank may take time to remove a pending authorization.

4.3 Recurring Charges

Stripe charges your default payment method on each scheduled billing date. You authorize those recurring charges until the subscription is cancelled and are responsible for keeping the payment method current.

4.4 Failed Payments

If a recurring payment fails:

  • The subscription may be marked past due
  • The account returns to Free access while payment remains unresolved
  • You may use the available recovery flow to restore the paid tier after successful payment
  • The subscription may be cancelled if payment is not recovered

4.5 Receipts and Invoices

We send billing confirmations using transaction information supplied by Stripe. Stripe records and the amount shown for the completed transaction control if a receipt display differs.

5. Upgrades and Downgrades

5.1 Plus-to-Pro Upgrades

  • An accepted upgrade takes effect immediately
  • The amount due is shown before confirmation and is calculated from the applicable plan and cycle prices, with remaining academic periods taken into account where relevant
  • If you also request a cycle change, the confirmed checkout amount governs the immediate charge and the selected cycle governs the next renewal
  • Immediate upgrades may be unavailable outside an active academic period

5.2 Pro-to-Plus Downgrades

  • A downgrade is scheduled for the next billing period
  • Pro access continues through the current paid period, subject to these policies
  • No refund or credit is issued solely for scheduling a downgrade

5.3 Billing-Cycle Changes

  • You may request a change between academic-period and yearly billing where offered
  • A cycle-only change takes effect at the next billing period and does not create an immediate charge
  • A cycle change submitted with an immediate Plus-to-Pro upgrade is handled as part of that upgrade

6. Cancellation

6.1 How to Cancel

You may cancel a subscription through the Service. Account deletion is a separate request made through support.

6.2 Effect of Cancellation

  • Active subscriptions: cancellation is scheduled for the end of the current billing period. Paid tier access continues until that date, then the account returns to Free access.
  • Past-due or incomplete subscriptions: cancellation may take effect immediately and the account remains or returns to Free access.

6.3 Course Data

Cancelling a subscription does not, by itself, delete course records, uploaded materials, or generated study materials. Continued visibility and use are subject to the course's active academic period, available Free entitlement, and feature limits described in this Policy and the Privacy Policy.

7. Refund Policy

7.1 General Policy

All subscription charges are non-refundable, except where prohibited by applicable law. This includes:

  • Semester and yearly subscription fees
  • Tier upgrade charges
  • Partial-period charges

This policy is subject to your statutory rights, including any applicable cooling-off or withdrawal rights as described in Section 13 (Cooling-Off and Withdrawal) of our Terms of Service.

7.2 Exceptions

We may, at our sole discretion, issue refunds or credits in the following exceptional circumstances:

  • Documented technical failures on our part that prevented you from using paid features for a material portion of your billing period
  • Billing errors resulting in incorrect charges
  • Other circumstances where we determine a refund is warranted

The determination of whether an exception applies and the amount of any refund or credit is at GPAce's sole discretion.

Refund requests must be submitted to support@gpace.ai within 14 days of the charge in question.

7.3 Refund Method

Approved refunds are processed through Stripe to the original payment method. Processing times depend on your payment provider and are outside our control.

8. University Affiliation and Account Changes

Your university affiliation determines supported access, academic calendar, region, and billing currency. Losing access to your university email does not by itself cancel an active recurring subscription; you remain responsible for cancelling it through the Service if desired.

The Service does not currently provide an in-app university or university-email transfer. Contact support@gpace.ai to request a move to another supported institution or address. We may require verification and cannot guarantee that every transfer is available.

9. Free Access and Reward Credits

9.1 Initial Free Academic Period

Initial Free access becomes bound to the active semester or trimester when the first course is created. Its course allowance applies only to that academic period and any unused portion expires when the period ends.

9.2 Referral Rewards

Referral rewards are governed by Section 1.4. A course-analysis credit can be applied only to an eligible active course and is consumed once applied. A redeemed free-period reward becomes subject to the same academic-period limits as initial Free access.

9.3 Course Removal and Allowance Restoration

If you remove an eligible course before processing begins and within the same academic period, the Free course slot it used may be restored. Once processing has begun, the slot remains consumed. Applied course-analysis credits are not restored solely because the associated course is later removed.

10. Disputes

10.1 Billing Disputes

If you believe you were charged incorrectly, contact support@gpace.ai within 14 days of the charge. We will review it and respond within a reasonable timeframe.

10.2 Chargebacks

If you open a chargeback or payment dispute without first contacting us, we may restrict the account while the dispute is resolved. Contacting us first may allow a faster direct resolution.

10.3 Decisions and Statutory Rights

We will make billing and refund decisions reasonably and in good faith under this Policy. Our determinations do not limit statutory rights that cannot lawfully be waived.

11. Price Changes

We reserve the right to change our pricing at any time. Price changes will:

  • Apply only to new billing periods (not the current active period)
  • Be communicated to affected subscribers in advance where practicable
  • Not affect charges already processed

12. Currency and Taxes

12.1 Currency

Charges use the supported billing currency associated with your university's region. You cannot select a different billing currency in the Service.

Your bank, card issuer, or wallet provider may apply exchange rates, currency-conversion fees, or other charges when its account currency differs. Those charges are outside GPAce's control.

12.2 Taxes

Any taxes collected for a transaction will be reflected in the checkout total or related billing record as applicable. The final total shown before you confirm payment is authoritative for that transaction, subject to charges imposed separately by your payment provider.
